Software Solution · Lead Management

Hot leads go to the agent who actually wants them.

A new lead hits Follow Up Boss and the clock starts. The Lead Router texts the right agents, the first one to tap claim gets the lead, and anything nobody grabs moves on by itself. It runs on your server, follows your rules, and every line of it is yours.

Where it hurts today

  • Round robin hands a hot lead to whoever's next, even if they're at a closing.

  • Someone has to scroll a smart list to find the new leads nobody called.

  • When a lead goes cold, nobody can say who had it or for how long.

How a lead moves

From the second it lands to the agent who claims it.

  1. A new lead lands

Follow Up Boss sends it over the moment it's created. Duplicates and test leads get caught before anyone's phone buzzes.

  2. Your rules pick the pool

Rules run top to bottom and the first match wins. Source, area, price range, whatever your team routes on.

  3. First crack

The rule decides who gets the first text: one agent, or a few who race for it.

  4. Overflow

Nobody claims inside your window? The whole eligible pool gets the offer. Agents marked Away never do.

  5. Final call

One last round, and this time agents who hit their daily cap get a shot too.

  6. Claimed or caught

First tap wins and the lead is assigned in Follow Up Boss. If nobody bites, it lands in the pond you picked and your escalation kicks in.

What's in the base solution

  • Claim-by-text offers with single-use links
  • Rules you drag into order, first match wins
  • Three offer rounds with a claim window you set
  • Away and Off agents never get offers
  • Daily caps so nobody gets buried
  • Duplicate and test lead filtering
  • Unclaimed leads drop into the pond you choose
  • Every offer, claim, retry and escalation logged
  • Reports on response time, overdue tasks and daily load
  • If a Follow Up Boss assignment fails, it retries and tells you if it can't
  • Failure alerts to one Slack channel or email address
  • A setup console for your roster, lead sources and rules

Make it yours

These are examples of what teams ask for. Build them yourself, or have us build them at a fixed price.

  • Route by who converts each source best
  • Add Slack or email offers
  • Your own message wording
  • Separate rules for ISAs and agents
  • After-hours and weekend rules
  • New sources and markets

Do it yourself

It's your code. Open it in Claude Code, Codex or Cursor, say what you want changed, and review what it writes.

Have us do it

Tell us the problem. We'll find the right fix and give you one fixed price before anything gets built.

How owning and customizing works

What you'll need

  • Follow Up Boss with an admin API key
  • Your own hosting account. We'll walk you through it, about 15 minutes.
  • A texting number with carrier registration (A2P 10DLC). We handle the paperwork.
  • Your roster and how you want leads assigned. A doc or a quick call works.
  • Slack, only if you add Slack offers

Carrier approval for texting takes a few days, so we start it first.

Frequently asked questions

If the built-in round robin already works for your team, keep it. We'll tell you that on the call. The Router is for teams that want claim-by-text, rounds that move on their own, and a record of every offer.

Your agents already live in their texts. Tap the link and the lead is theirs. Slack and email offers can be added if your team works there.

It goes through three rounds, then lands in the pond you chose for that rule, and whatever escalation you set fires.

Yes. Rules, roster, sources and limits all live in your setup console. Bigger changes, like new routing logic, go in the code, by you or by us.

Same family. The solution is the proven version you install and own. The agent is a custom build that adds judgment, like routing by who converts each source best, and it starts with discovery. Plenty of teams start here. See the Custom AI Agents tab.

How fast does your team call a new lead today?

Bring your tool list and what it costs you to a 30-minute call. We'll tell you if this solution fits, what we'd set up differently for your team, and when it isn't the answer.
