Software Solution · Lead Management

Leads that sit get a warning. Then they get moving.

Every morning the Lead Sweeper checks the smart lists you pick and gives each agent a heads up in Slack about the leads they're about to lose. In the afternoon it checks again. Anything still untouched moves to your pond, right on schedule, with a record of why.

Where it hurts today

  • Leads sit on agents who stopped working them months ago.

  • Pulling leads back is a manual job, so it happens when someone remembers.

  • Agents get blindsided when a lead moves, and it turns into an argument.

How a sweep works

One day, two checks, zero surprises.

  1. Morning check

At the time you set, it reads every smart list you've pointed it at.

  2. Heads up

Each agent gets one Slack message listing the leads that move today if nobody touches them.

  3. The day happens

An agent works a lead so it no longer fits the smart list. That lead is safe.

  4. Afternoon recheck

It reads the lists again, using who owns each lead right now, not who owned it this morning.

  5. Moved and logged

Anything still on the list moves to your pond in Follow Up Boss, the agent hears about it, and the decision goes in the history.

      What's in the base solution

      • Sweep rules: one or more smart lists into one pond
      • Morning heads up and afternoon sweep on your schedule
      • One Slack message per agent, not one per lead
      • Rechecks right before moving, so worked leads stay
      • Exclude agents who should never be swept
      • Warning-only mode for lists you just want to watch
      • Dry run that shows what would move, before anything does
      • Run any sweep on demand
      • Daily sync that matches Follow Up Boss users to Slack
      • Dashboard with run history and a per-lead audit trail
      • Runs in your time zone
      • No Zapier in the middle

      Make it yours

These are examples of what teams ask for. Build them yourself, or have us build them at a fixed price.

      • Text or email heads ups instead of Slack
      • Different schedules per list
      • Send swept leads to an ISA instead of a pond
      • A weekly summary for the team lead
      • Special rules for past clients and VIPs
      • Hand swept leads to the Lead Router

      Do it yourself

It's your code. Open it in Claude Code, Codex or Cursor, say what you want changed, and review what it writes.

Tell us the problem. We'll find the right fix and give you one fixed price before anything gets built.

      How owning and customizing works

      What you'll need

      • Follow Up Boss with an admin API key
      • A Slack workspace your agents use
      • Your own hosting account. We'll walk you through it.
      • Which smart lists to sweep, which pond each goes to, and who's excluded

Every setup starts with a dry run, so you see exactly what would move before a single lead does.

      Frequently asked questions

No. It checks again right before the sweep, using who owns each lead at that moment. If a lead no longer fits the smart list, it stays.

Yes, and we do it every time. The dry run shows exactly what would move. Nothing moves until you've seen it.

Some of it, with smart lists and automations. We'll look at what your account can already do first. The Sweeper adds the heads up, the recheck and the history.

They're separate solutions that work well side by side. The Router handles new leads, the Sweeper handles the ones that go stale. Sending swept leads back out through the Router is a customization.

The base solution sends heads ups in Slack. Text or email instead is one of the most common customizations.

How many leads are sitting on agents who stopped calling?

Bring your tool list and what it costs you to a 30-minute call. We'll tell you if this solution fits, what we'd set up differently for your team, and when it isn't the answer.
